How to agree on a time for a bigger group

A practical way to collect answers without a message loop when more than three people are involved.

An evening for three can be settled in one message. A meeting for six or ten no longer fits the same thread: someone answers late, someone suggests another day, and the first options go stale.

The working model is simple. One person collects the possible times, sends them to everyone at once and sets a deadline. The answers need to be visible in one view, not in ten chats.

Do not offer twenty slots. Two weekends and one weekday evening are usually enough. Too much choice lowers the response rate, because nobody wants to compare a calendar against an endless list.

When most people have answered, the organizer locks the time. “Almost works for everyone” is better than a perfect time that is never found. A locked time belongs in the calendar, not in a new poll.
